Interboro’s Kronos for Healthcare helps hospitals make the most of their talent.

In no other industry does the concept of having “the right people at the right place at the right time” apply to than in the healthcare industry, specifically hospitals. It not only means running a smooth and efficient operation, but also the level of quality of care that these institutions can provide their patients and their loved ones. Kronos Workforce Central 8, supplied and supported by local company Interboro Systems Corp. (ISC), has played an essential role in helping hospitals reach and maintain a balance among quality care, cost controls and retaining valuable human resources to fulfill their mission.

“While our Kronos Workforce Scheduler Solution is essential in providing hospitals with an advanced, state of the art resource to handle their scheduling needs and requirements, through the Kronos suite we can provide a complete workforce management solution,” said Juan Ignacio Gómez, sales director for ISC. “In other words we can help hospitals manage an employee’s life cycle from the moment he or she is hired, to the management of their day-to-day performance and transactions related to payments.”

While more than half of hospitals in Puerto Rico rely in one aspect or another of the Kronos suite of solutions, there are still some institutions that handle processes such as scheduling manually.

“Sometimes is a normal resistance to change, or just that they are used to doing things a given way, but there is much more to gain when they adopt our solutions,” said Gómez. “Through our scheduling solutions they can really make the most out of their staff, having the best people where they need them, when they need them, with more positive patient outcomes, higher employee satisfaction and better control on costs.”

As part of the Kronos for Healthcare suite of workforce management solutions, Kronos Workforce Scheduler automates the creation of work schedules based on a forecast of predicted patient volume, with consideration of employee skills, experiences and preferences. In terms of forecasting it determines future demands based on historical volume data from Admissions-Discharge-Transfers (ADT) or patient placement systems, and supports predicative scheduling with volume-based workload forecast.

“When it comes to scheduling the solution helps achieve an appropriate mix of people with the right skills to support quality care,” said Gómez, adding that Kronos Workforce Scheduler helps increase staff satisfaction through features such as self service and mobile capabilities. “Our solution allows for the planning of the schedules that best fit the needs of the hospital, adhering to guidelines such as company policies, employee preferences and skill mix.”

Kronos Workforce Scheduler also allows for productivity tracking to maximize shift-based productivity through real-time reporting, and anticipate variances on labor hour data and actual workload metrics. Regarding staffing, Kronos Workforce Scheduler helps minimize over- as well as under- staffing with whole-house visibility, and enables hospitals to react swiftly and decisively to scheduling changes. For example if an employee calls in sick, a call list quickly delivers a prioritized list of qualified personnel who could fill that shift.  In fact, Kronos Workforce Scheduler’s SMS Quick Fill notifies both managers and employees of shift acceptance.  And most importantly, Kronos Workforce Scheduler features as one of its core components Workload Manager, which helps nurse managers create staff-to-patient assignments that basically assigns the tight nurse to the right patients.

“Add to that the fact that we can provide take and manage these services in the cloud, which represents even more control in terms of costs and staff,” said Gómez. “All in all, through Kronos we provide a comprehensive set of workforce management solutions that help in achieving a healthy working environment with a satisfied staff working towards providing the best quality care possible to patients.”
